Each student at EBUS receives access to funding which can be used for the purchase of school supplies, sports/arts lessons, and other resources. Funding is given as follows:
Student funds are issued on student Visa cards, with each student getting his/her own card. In order for your Visa card to be ordered and loaded with funds, the Financial Allocation page at the end of the Student Learning Plan (SLP) must be filled out (see the next tab on the left for further SLP details). All we need is for you to outline in general terms what your intentions are for funding use. Simply fill in areas where you know you will be spending to support your child's learning - lessons they will be participating in, internet costs for up to 10 months of the school year, general school supplies/books totals, etc. Don't worry if you don't know at this time exactly everything you will be purchasing for your child through the year, just give us an idea for now. For example:
If you don't know the exact cost of supplies or lessons, just estimate. Also, if you outline certain purchases with me now, then come across a different opportunity later in the year and wish to change that on the form, that's just fine - all I ask is that you discuss with me any changes you may wish to make as they come up. This Financial Allocation page can be found at the end of your child's SLP.
As you use your Visa card, you will need to keep track of your spending and let us know in general terms what purchases you are making. The Visa records that we get from Vancity are often vague or misleading and don't always give an indication of what specifically was purchased, so we just ask that you keep and submit to us your receipts through the school year. Most families find it convenient to just scan and email their receipts as they get them. Email your receipts to Evelyn at [email protected] outlining what was purchased and where (i.e. if the receipt isn't clear, just add a quick note either on the receipt or in your email with details of the purchase). You don't have to list everything item by item (e.g. if you bought 10 books and a bunch of school supplies you don't have to list each item individually) - rather, you could just say $57 novels, $43 school supplies, $30 museum entry fee, etc. Please consult the Welcome Package for specifics regarding what can and cannot be purchased using your child's learning allocation.
Please note that you can use your Visa card wherever credit cards are accepted for the purchase of school supplies, resources, and even lessons/classes (e.g. art/music class and instrument rentals, sports team registrations, etc.). If you are paying for a lesson/class where they accept Visa, then that's great, it's the easiest way to access funding for lessons. However, there is a way to work around lesson vendors/class suppliers who don't accept Visa that works just a bit differently in terms of how it is paid for out of students' funding.
Here are copies of the Vendor Application and Lessons Forms:
- Students Gr. K-7 enrolled by September 30 have access to up to $1000 starting in October when funding is made available
- Kindergarten students have access to an iPad to use for the year in support of curricular development.
- Students enrolled in October or later get half funding ($500), which will be made available in February

- Vendors must be paid directly for their services, so when they don't accept Visa we require an invoice to be used.
- In order for them to be paid, you just have them fill out two forms: Vendor Application Form and Lessons Form.
- Vendors who have worked with EBUS before may have already filled out a Vendor Application Form and so will not need to do so again - but if you or they are unsure just have them fill it out anyways. The Vendor Application Form is how we get the correct address/billing information from our Vendors and will ensure that they get paid in a timely manner.
- The Vendor must also fill out their portion of a Lessons Form, in which they will outline the specific services they are providing for your child (type of lessons, cost, duration of lessons, etc.)
- If you have more than one child with EBUS, please fill out a SEPARATE form for each child
- Once the Vendor has filled out their parts of the forms, just take them back and send them on to us by email [email protected] , fax 250-567-3943, or mail to: EBUS Academy, Bag 8000, 187 E. Victoria St., Vanderhoof BC, V0J 3A2
- If your vendor needs payment immediately but you're having to wait for funding to be available or invoices to be processed, try giving the Vendor a post-dated cheque that they can hold until your funding comes in or their invoice amount is received.
